BonCRM · installed at your company

Invoicing and CRM on your own server.

Invoices, customers, bank details and prices are the data your business runs on. With BonCRM they live on a server at your company, or in a separate installation just for you on our server in Germany, rather than in a database shared with thousands of other businesses. You send invoices to Poland's KSeF and issue German XRechnung e-invoices straight from the system. We take care of installation, backups and updates.

What your own installation gives you

Cloud software is convenient as long as everything works at the provider's end. With your own installation, you decide where the data lives and who can get to it.

You know where your data is

Customers, invoices and bank details sit on the server you choose: in your office, or in a separate installation on our server in Germany. When a customer asks where their data is stored, you can tell them exactly.

A smaller target

A cloud service keeps the data of thousands of companies in one place, which makes it attractive to attackers. A server at your company holds only your data and does not have to be reachable from the internet.

Login only from the office or over VPN

If you want, we set the system up so it is reachable only on your company network and, from outside, over a VPN, an encrypted connection into the office. Then not even the login page is visible from the internet.

Only the invoice has to leave

An invoice has to reach KSeF in Poland or your customer in Germany. Notes, customer conversations and stock levels are nobody else's business, so they stay with you.

Backups you can actually restore

We make the backups, including copies kept off the server that runs BonCRM. We test restoring them before you really need them.

No per-seat licence

A new hire does not make the software more expensive. We develop the system ourselves, so a missing report gets added in-house.

Inside the system

Security built into BonCRM

Each user sees and does only what you allow, and the system records who changed what.

Two-factor login: a password plus a code from an app on your phone

Permissions for individual actions, such as viewing invoices but not deleting them

Audit log: who changed what, and when

Contact anonymisation on request (GDPR) without deleting invoices you have to keep

Several companies in one installation, with their data kept separate

AI only through your own account with the AI provider. Without one, the system sends nothing to an AI model

Honestly

Your own server will not protect itself

A server nobody looks after is less secure than a well-run cloud service. That is why BonCRM on a client's server always comes with our IT care: system and server updates, backups and monitoring, and we step in when something goes wrong.

How it works

Moving to BonCRM

  1. 01 First conversation We look at what you use today, which modules you need and where the system should run.
  2. 02 Installation We install BonCRM on your server, or in a separate installation on our server in Germany, and switch on the modules for your industry.
  3. 03 Data migration Customers, products and history come over from spreadsheets or an export of your old software. The import shows a preview before anything is saved.
  4. 04 Training and care Everyone learns what they actually use. After that, the system stays under our ongoing care, along with the rest of your IT.

Questions

Frequently asked

Can a server in our office send invoices to KSeF?

+

Yes. BonCRM submits the invoice to KSeF, Poland's national e-invoicing system, fetches its status and the official receipt (UPO), and has an offline mode for when KSeF does not respond. Your server does not need to be reachable from the internet: it sends the invoice and picks up the reply on its own, the same way your browser loads a web page.

What about German e-invoices?

+

BonCRM creates an XRechnung from a finished invoice in one click. You download it as a file and send it to your customer, by email for example. If a mandatory field is missing, the system tells you which one instead of producing a file your customer would reject. Sample invoices from BonCRM passed the official XRechnung validation rules with no errors or warnings. Incoming XRechnung and ZUGFeRD invoices are read straight from the file. BonCRM does not issue ZUGFeRD invoices, and it cannot yet issue XRechnung for intra-EU supplies or exports.

When do companies in Germany need e-invoicing?

+

Since 1 January 2025, every business in Germany must be able to receive e-invoices. Issuing them becomes mandatory from 1 January 2027 for businesses with more than €800,000 in turnover in the previous year, and from 1 January 2028 for all others, unless an exemption applies. The rules cover invoices between businesses in Germany, not invoices to consumers. Check the details for your company with your tax adviser.

What does this mean for GDPR?

+

You can say exactly where your customers' data is and who has access to it. If someone asks for their data to be erased under GDPR, you anonymise the contact without deleting invoices you are required to keep. The audit log shows who changed what, and when.

What server do we need?

+

We choose it after our conversation, based on the number of users and modules. If you would rather not keep hardware in the office, we set up a separate installation on our server in Germany.

What if the office server breaks down?

+

The backups are not kept only on that server, so we restore the system on other hardware or temporarily on our server in Germany.

Can we work outside the office?

+

Yes, over a VPN. BonCRM runs in the browser, phones included. There is no separate mobile app, and drag and drop currently works on desktop only.

Can we bring data over from our current invoicing software?

+

Yes, from a spreadsheet or an export of the old software. The import shows a preview before saving, so you see what goes into the system.

How much does it cost?

+

Installation is a one-off €2,000 net. Adapting the system to your processes, including training, is a one-off €2,500 net. There is no per-seat licence. A server under our care adds €150 net a month to the IT subscription.
